1. Q: What is VI-Hire?
A: VI-Hire is an online posting and application tracking system. The system hosts all internal and external VIHA job postings, applicants’ profiles and it allows you to view and apply for jobs online. A useful resource we recommend that you will find helpful in getting started is the VI-Hire Employee Instructions. If you are having technical difficulties, please refer to: VI-Hire Technical Requirements.
2. Q: What is a Profile?
A: A profile contains all the information you would normally provide in a job application such as demographic information, work history, educational qualifications, cover letter, resume etc.
3. Q: If I do not have a computer, how can I apply for jobs at Island Health?
A: You can access VI-Hire to view and apply for jobs online from any computer anywhere with internet access such as public libraries or Internet cafes.
4. Q: How do I create my profile – Public Users?
A: Click on 'Create New Account' in VI-Hire and follow the instructions.You will need to set up your account using your personal email address.
OR Access VI-Hire from the 'Careers' home page, by following these steps:
Select the 'Public Job Postings' button
Select the 'Personal Profile Create/Login' button to take you to the VI-Hire Login page
On the 'VI-Hire Login' page, under 'First Time Public User', click the link to 'Create New Account
.' You will need to set up your account using your personal email address.
Island Health Employees ONLY: A basic profile is automatically created for all employees using information from our HR/Payroll system. The profile contains basic information such as your name, address, phone number, work site, department, union, and seniority hours/ date. Read our VI-Hire Employee Instructions, to learn how to log on as a first time employee user or follow the instructions on the main log in page for staff. If you are a new employee, the information from your public account doesn’t transfer to your employee account and you will need to be set up in your employee account.
5. Q: How do I access my profile?
A: Your 'Profile' is accessed from the buttons (Public Job Postings or Island Health Employee Job Postings) on the Careers home page. Log in with your email address and password that you created.
Island Health Employees ONLY: To access your profile, log in with your Island Health email address (email@example.com). Read more in the VI-Hire Employee Instructions.
6. Q: What is a “dashboard”?
A: A dashboard is the first page you see when you log onto VI-Hire.

7. Q: How do I make changes to my profile?
A: Access VI-Hire on the Careers home page. Under 'Returning User', use your email address and password to log in then update your profile by accessing ‘My Profile’ in the Careers Centre and using ‘Edit Profile’ on the top right hand side of the page.
VIIsland Health Employees ONLY: You may add a Preferred Contact number such as a cell phone number and you may update your profile attachments such as cover letters, resumes or certificates. To update your basic information, address, or phone number, you will need to complete the Employee Personal Information Change form Accessible in the ‘Employee Toolbox’ section of the internet under the ‘Find A Form’ bullet. This employment information is pulled directly from the HR/payroll system and needs to be formally changed there first.
8. Q: What happens if I lose or forget my password?
A: Below the Email Address and Password fields on the login page, click 'Forgot your password?' You will be asked for your email address. Within a few minutes an email will be sent to you with your new password. If you can’t find your password in your email inbox, you will need to check your junk/spam folder. Once you have received the email with your temporary password, you will need to write down this password. The first time you log in to your account successfully you will be prompted to change your password. In the field that says old/temporary password you will need to enter the temporary password you just received and used to log in. You will then need to set up a new password. Your new password needs to be at least 8 characters long with one capital letter, one lower case letter and one number.
9. Q: I have created a Profile, will anyone look at my profile even though I don’t apply for a job?
A: No, the only way to have your profile reviewed is to apply for a specific posting. This includes casual positions.

Resumes and Attachments
10. Q: Do I need to include a resume? – Island Health Employees ONLY:A: Even though Island Health employees already have a base Profile, we encourage all applicants to include an updated cover letter and resume before you apply for a job to ensure you are suitable for the position and to include any relevant certificates etc. All your information will be reviewed by the Island Health hiring manager from the department to which you apply.
11. Q: I have already created my profile but I need to make some changes. How do I update my profile?
A: To update your profile you will need to log in to your VI-Hire account and go into the ‘My Profile’ section of your Career Centre. Once you are in your profile, you will need to click on ‘Edit Profile’ to make any changes. Please remember to save your changes/edits.
12. Q: When I choose to attach my resume what type of document can it be?
A: We can only accept attachments that are Microsoft Word documents or PDF's. Our system cannot open Word Perfect documents.
13. Q: How do I add my resume to my Profile?
A: The best way to add your resume to your profile is to copy and paste it into the 'Resume Box' in your 'Profile'. You can also type your resume into the 'Resume Box' on your profile.
14. Q: How many attachments can I add to my Profile?
A: You can add as many attachments to a profile as you like as long as the file size of each item doesn’t exceed 2 MB’s.
15. Q: Can I edit the attachments in my Profile?
A: No, you cannot edit an attachment. You must delete the original attachment and attach an edited version.
16. Q: I have added documents to the 'My Attachments' section my Career Centre; how do I submit them as part of my application?
A: Any document you have in the ‘My Attachments’ section of the Careers Centre is automatically viewable by the hiring manager when they are reviewing your VI-Hire profile for the position you have applied for. Please keep these attachments general in nature because if you apply for multiple positions all hiring managers can view any attachments you have added. If you want to provide specific resumes or cover letters that are particular to a certain job, this is done in the ‘Resume Box’ in your Career Centre ‘Profile’.
17. Q: I have already applied for a position but need to update my information, how do I do this?
A: If you updated the information on your profile it would not be reflected for the position you have previously applied for because a snap-shot of your profile is taken when you are applying on a job. This allows applicants to have a specific cover letter and/or resume for each position they apply for. If you wish to update your information for positions you have previously applied for, you can use the ‘My Attachments’ section in the Career Centre as it is a live environment, so anything you add to this section of your profile can be viewed by any of the managers reviewing your profile. You do not want to remove yourself from consideration to update your profile as you cannot reapply for any position once you have removed yourself from consideration.
18. Q: I’m a new Island Health employee, how do I access VI-Hire? - Island Health Employees ONLY:
A: Once you have completed all of your onboarding documents, which you access using your personal email address, and have been issued a Island Health email address, you will then need to access VI-Hire with your Island Health email address only. You will need to update your internal profile now that you are an employee to include your resume and attachments, so they will be available for each position you apply for going forward. The external profile is no longer valid and does not transfer over from your personal VI-Hire account.
19. Q: Can I access VI-Hire when I’m not at work? Island Health Employees ONLY:
A: Yes, you can log on to VI-Hire from any computer with internet access and a web browser at anytime but you must use your Island Health email account. Read more VI-Hire Employee Instructions.
20. Q: Why can’t I use my personal email account to access VI-Hire once I’m a Island Health employee - Island Health Employees ONLY:
A: The use of your non Island e-mail account will prevent several features of the system from working. You will not have access to the internal postings and the system won’t show you as an internal applicant. All correspondence will be sent to your Island email address. 21. Q: How do I look for jobs?
A: Once you have logged in, you can select ‘View All Jobs’ or use the ‘Quick Job Search’ or the ‘Advanced Job Search’ with key words or phrases, locations and categories to see only the jobs within the parameters you have set. When searching for jobs, it is best to select one or two search criteria. If you select too many options, you may be filtering out positions you are interested in. If you want to select multiple options on one category, you can do so by holding down the Control (Ctrl) key on a PC or the Command key on a Mac computer.
22. Q: How do I view internal jobs? - Island Health Employees ONLY:
A: Only Island Health employees can view the internal jobs. To view internal Island Health jobs, you MUST use your Island Health email address to log in to the VI-Hire system. If you use your personal email or another email address, you will NOT have access to the internal jobs and if you apply for a job, you will NOT be considered an internal applicant. You also won’t have access to the internal postings if you just click on 'Search Jobs,' you have to log into the system as a Island Health Employee. Read more VI-Hire Employee Instructions.
23. Q: I am a Island Health employee, but I do not have access to a computer. How can I apply for jobs? Island Health Employees ONLY:
A: You can access the VI-Hire system to view and apply to jobs online from any computer anywhere that has internet access, such as the public libraries or Internet cafes. Computer kiosks have been installed at some locations throughout Island Health to increase accessibility for staff with limited computer access. Read more VI-Hire Employee Instructions.
24. Q: What is a Search Agent?
A: A Search Agent is an automated search engine that applicants can set up within the VI-Hire system that will notify you when new jobs meeting your specific search criteria are posted to the system. A search agent only notifies you of a position, it does not apply you to that position. To apply for the position, you need to log in to your VI-Hire account using your Island Health email address and apply directly to the position. Applicants receive an email alert within 24 hours of the new posting going on the web, inviting you to review and apply if interested. Search agents can be set to filter on such criteria as: Location, profession, etc. It is best to set up your search agents to be very general otherwise you may be filtering out postings that you actually are interested in.
25. Q: How many “Search Agents” can I have?
A: You can set up as many Search Agents as you like.
26. Q: Can I apply to VIHA as a general applicant?
A: No, applicants may set up a profile and create “Search Agents” without applying to a specific posting but you need to apply for a specific posting before your application will be reviewed.

Applying for Jobs
27. Q: How do I apply?
A: You will access the VI-Hire Career Centre through the link found on the Careers home page. On the Career Centre home page, you simply log in using your Island Health email address or personal email address and the password that you create. Once you are logged in, you can use the 'View All Jobs', 'Quick Job Search' or 'Advanced Job Search' to see all the internal and external jobs. When you find a position that you are interested in, you will want to go back to your profile and make sure it is set up the way you want for the position before you apply for the job. You can then go back into the job search, click on the title of the job and click on the ‘Submit Your Resume to this Job’ button to submit your Profile (application) to the competition. You will receive an email notification for every position that you apply for and as well as jobs being listed in the ‘Profile Submission History’ of your Career Centre.
28. Q: Can I apply to Island Health as a general applicant?
A: No, you need to apply on specific jobs to be considered for a position at VIHA. This includes casual jobs.
29. Q: We have one email address for our whole family, can my relatives and I use the same email address to apply for jobs?
A: No, each applicant must have a unique email address. You can easily create a personal email through the following websites:
30. Q: Do I have to apply my Profile to each job that I am interested in?
A: Yes. Once your profile has been completed, you simply click on the 'Submit Your Resume to this Job' button on any position you want to apply to. The VI-Hire system Profile acts as your application.
31. Q: When are new jobs posted to the VI-Hire system?
A: New jobs will be added to VI-Hire on a daily basis (business days only).
32. Q: How long are jobs posted for?
A: Each position will remain open for a minimum of 7 days.
33. Q: What time do the postings close?
A: Postings with closing dates will close at 3 p.m. Pacific Standard Time on the closing date.
34. Q: What about postings with no closing date?
A: For those jobs listed as ‘Open until Filled’, applications can be submitted at any time. However, these positions can close at anytime, so it’s best not to wait too long to apply because the position could be closed the next time you look for it.
35. Q: Does the VI-Hire system keep track of the jobs I have applied to?
A: Yes. You can review them by logging into your 'Profile' in the VI-Hire Career Centre. Your Application History is located in the 'Profile Submission History' section.
